POSITION DESCRIPTION AND DUTIES | ||
|
The Development Assistant reports to the Director of Development and has primary responsibility for the College’s constituent database administration, including effective management of donor records. Responsibilities include the following: • Reports to Director of Development and works closely with Alumni Relations staff. • Establishes procedures, policies and rules for data entry into Raiser's Edge. • Serves as liaison to the college Business Office for the reconciliation of contributions and custodial account expenses. • Implements policies and procedures regarding the accuracy and integrity of the alumni and foundation database system. • Supervises the data entry staff for gift processing. Ensures accuracy of all gift information entered into the alumni and foundation database and manages acknowledgement systems. • Works with Development and other department staff to ensure that all gifts of cash, stocks, art and in-kind gifts, bequests and pledges are properly recorded and acknowledged through the alumni and foundation database. • Generates data extractions as needed for projects. Assists in the development of constituent activity reports as required by academic departments. Maintains prospect lists to establish prospect tracking systems and procedures through the database and other sources. • Works with CIS to ensure regular database backups, server maintenance and troubleshooting; coordinates maintenance and installation of computer hardware/software necessary to support the alumni and foundation database. • Acts as primary contact with Blackbaud on customer support, data conversions and software upgrades. Researches various services and tools offered to determine City Tech’s database software requirements. • Interacts and reconciles development records with the College’s Business Office for the preparation of the annual CAE Report. • Provides training to new system users. • Manages the integration between the alumni and foundation and other database systems and software applications. • Monitors the Development Office website to ensure that all information is updated, including event announcements and donor appeals. • Serves as office liaison to CUNY, analyzing and reporting on implications and opportunities for development systems improvements. • Creates project-specific reports, monthly reports, queries, searches, data imports and exports as needed. • Manages the database for analytic or demographic reports, trends analysis and program performance analysis. • Inputs all contact information into the database, including ticklers to ensure that all deadlines for donor contact are met. • Maintains the integrity of the database and enforces the standards and protocol of the database. • Executes all mass e-mail campaigns and communications. • Assists in coordinating and tracking of mailings, including appeals, invitations, e-blasts, gift acknowledgements and receipts. • Oversees alumni and foundation database management. • Performs other related duties as assigned. | ||

QUALIFICATION REQUIREMENTS | ||
|
• Bachelor’s degree required. Two years of related experience preferred. Knowledge of Raiser’s Edge or other fundraising database experience in non-profit environment a plus. • Exceptional attention to detail, strong analytic and good interpersonal and communication skills required. • Proficiency in MS Office required. • Must have demonstrated ability to work productively as a team member. | ||
